BookWith Athena (“we,” “us,” or “our”) provides Athena, an automated text-message booking assistant used by barbers and salons (each a “Shop”). This policy explains what information we collect when you text a Shop's booking number that is powered by Athena, how we use it, and the choices you have.
Information we collect
When you text a Shop's booking number, we collect:
- Your mobile phone number
- Your name, if you share it
- Appointment details, such as the service you're interested in, preferred days and times, and the appointment that's booked
- The content of your text messages with the booking assistant
How we use your information
We use this information only to answer your questions, book appointments you request with the Shop, and send messages about those appointments (for example, confirmations or updates). We do not use it to send marketing messages, and we do not sell it.
SMS opt-in and mobile information
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Service providers
We use a small number of service providers only to deliver the booking service. They process information on our behalf and are not permitted to use it for their own marketing:
- Twilio: sends and receives text messages
- Make (Make.com): routes messages between the text line, the booking assistant, and the Shop's schedule
- Square: the Shop's Square Appointments schedule, used to check open times and book your appointment
Your appointment details are also available to the Shop you texted so it can provide your service. We may disclose information if required by law.
Data retention
We keep message and appointment information only as long as needed to provide the booking service, handle your appointments, and meet legal obligations, and then we delete it. Appointment records kept in a Shop's Square account are also managed by that Shop.
Your choices and rights
- Opt out anytime: reply STOP to stop receiving messages. You'll get one confirmation message, and no more messages will be sent unless you text again.
- Get help: reply HELP, or email bookwithathena@gmail.com.
- Access or delete: email us to ask for a copy of your information or to have it deleted, and we'll respond promptly.
Security
We use reasonable safeguards to protect your information. No method of transmission or storage is completely secure, but we work to keep your information safe.
Changes to this policy
If we update this policy, we'll post the new version on this page with a new effective date.
